Student Employment
To comply with state and federal regulations, all new Student Employees must provide the Student Payroll Office with certain documents that establish work eligibility. In order to establish this requirement, students new to Augustana College are encouraged to complete the federal I-9 form, as well as state and federal tax forms, during their first registration process. Those students who did not complete their employment documentation at the time of registration must do so at the Student Payroll Office located in Sorensen Hall.
It is important to note that new student employee documentation must be completed before a student is permitted to work on campus.
In order to verify employment eligibility, please provide the Student Payroll Office with one original document from List A, or a combination of two original documents – one document from List B and one document from List C. Photocopies and faxed copies cannot be accepted per federal regulations. Exceptions to specific document requirements/ types cannot be made.

For verification purposes, we additionally ask that you bring your Social Security card at the time that you complete student payroll documentation. Your Social Security card is necessary for the purpose of matching your legal name with the tax information that the Student Payroll Office will send directly to the Internal Revenue Service (IRS). Providing your Social Security card ensures the proper crediting of your employee earnings record with the IRS.
The IRS and the Social Security Administration emphasize the critical importance of documenting your correct name and social security number, as shown on your Social Security card, with your payroll records and year end W-2 form. When completing the I-9 form, as well as state and federal tax forms, please make certain that you include the correct name and social security number on each form as it appears on your Social Security card. Please note that the request for your Social Security number is for employment purposes. Augustana College is committed to maintaining the confidentiality of your personal information.
