HR Update November 18th
To keep communication as clear as possible, and archive it for later use, the Office of Human Resources will be sending out updates using this format.
If you have information that you would like to disseminate to all employees, please send that to firstname.lastname@example.org and we will coordinate adding the information to a future HR update.
For now, we would ask that you limit any mass communications to avoid confusion.
Updated COVID guidance
With yesterday's announcement of new Tier 3 Illinois restrictions, the college offers the following guidance for employees.
1. As students continue on-campus learning through Wednesday, November 25th, it is important that offices who provide service and information to students remain open for those functions. Offices should carefully examine the best ways to provide in-person service through November 25th. Additional guidance for staffing expectations beginning November 30th will be available in the days ahead.
2. Employees who can work remotely should talk with their supervisor about the ability to begin working remotely with requirements of staffing of offices as described above.
3. Employees who prefer to continue to work on-campus for all or part of their work schedule can continue to do so as long as the present campus guidelines for masks and social distancing are followed.
4. Due to limits on capacity for indoor recreation areas, usage of PepsiCo Recreation Center and Carver and the Carver weight room will be reserved for student usage only.
You may find this infographic on IL Tier 3 restrictions to be helpful. While educational institutions are largely exempt, the guidance is helpful for both on-campus and off-campus activities.
Goal setting and check in meetings - December 18th due date
It’s goal setting time for all non-faculty employees
Let's put 2020 behind us and start looking towards 2021 by starting the goal setting process. We understand that many conversations surrounding performance expectations and goal setting may have already taken place but now’s the time to get them into the system. This year's deadline to complete the online goal-setting process is Friday, December 18th.
To get started, log into the Performance Engagement system which can also be found on the HR website. You’ll use your Augie network credentials to access the system.
Step 1: Each employee should answer the 2020 check-in questions
Step 2: Each employee should update and/or add possible goals for the first half of 2021
Step 3: Supervisors and managers should review this information, set up a meeting for discussion and finalized goals.
Open enrollment - only 3 days left
Completing your open enrollment process may be the easiest thing you cross of your "to-do" list this week. It's a quick and paperless process completed by visiting Arches.
The college's open enrollment process for health, dental, vision, and flexible spending closes at 4:30pm on Friday, November 20th. If you do not complete this process all coverages will end on December 31, 2020.

End of year details - tax documents & retirement savings
Two popular questions have been coming to the HR & Payroll office.
1. When will my retirement automatically go up? Can I change my retirement savings amount?
With the COVID disruption, the college will not have auto-escalation in January 2021, so unless you take action, your savings rate will remain the same for the year ahead. Employees can change their savings amount at any time during the year using the Retirement Savings Election form. You can also find this document on the HR webpage.
2. When will I receive my W-2 for tax filing?
These are typically sent out near the end of January but you can be among the first to receive yours if you sign up for electronic delivery. This document takes you through the steps of signing up for electronic delivery. As a bonus, once you sign up you will be able to access all W-2's electronically in the future.

Handling lost keys, ID's and assorted items
Have a lost and found item but not sure what to do?
For lost student ID's or keys
Feel free to contact the student directly or call or email our Access Control Specialist Allison Roos at 794-7707 or firstname.lastname@example.org
For other lost items
Items can be turned into the Office of Public Safety, open 24/7 who will keep those safe until an owner shows up to claim the item.
Student Employment during J-term & break
Please make sure you check with your student workers to be sure whether they are eligible to work on campus over the winter break, J-term, and the J-term recess. Students are only eligible for student employment positions over these breaks and J-term if they are enrolled in a J-term course.
Student workers who are enrolled in a J-term course may work up to 40 hours a week during winter break. The normal hour limits (10 hours/week for domestic students and 20 hours/week for international students) will still apply during J-term and the J-term recess.
