AI adoption and use guidelines for all

General adoption recommendations

While using AI systems community members should keep the following considerations in mind:

Privacy

Do not share sensitive information with an AI system unless you are certain it is secure. Remember, our obligations to protect the privacy of information (including student information under FERPA) applies when we share information outside of the College.

"Sensitive information" includes but is not limited to:

  • Personally Identifiable Information (PII) such as names, demographic data, geographic data, biological data, etc.
  • Intellectual property information

Accuracy

Review outputs before dissemination.

  • Ensure that all AI generated content has been thoroughly reviewed for accuracy before sharing
  • AI-generated results cannot be relied upon for complete accuracy and are not a substitute for human judgment.  Outputs that cannot tolerate inaccuracy may not be appropriate for AI.

Transparency

Transparency is expected when AI systems are used; be transparent about this use when sharing outputs.

Community impacts

When planning to adopt or requesting to procure an AI system for use by the community consider the following questions:

  • What data risks beyond sensitive information sharing exist in the use of this system?
  • How does this system align with Augustana's educational mission?
  • Which stakeholders will be affected, and how?
  • How will this system enhance human capabilities rather than replace them?
  • What metrics will we use to measure success both for ethical impacts and for overall operational outcomes?
