Special information and policies to ensure the success of your event

Special dietary accommodations for catered events: Augustana Catering is committed to meeting the needs of guests who have special dietary restrictions (such as a food allergy or intolerance) and recognizes that many of our guests may also adhere to a vegetarian, vegan or other therapeutic diet. Our catering manager will guide the organizer of your event, assisting with menu selections suggestions to provide reasonable and safe accommodation for guests. In addition: 

• Augustana Catering will not assume liability for any adverse reactions that may occur in our dining facilities. This is addressed via our client contract. 

• Menu items are prepared in a multi-purpose central kitchen environment; these ingredients may come in contact with items containing allergens; there is always a risk of cross contact in food handling. 

• Food manufacturers are not required to inform us of a change in the ingredients and nutritional content of certain food products; there is a potential that their formulation or processing change could alter allergen and/or nutritional information. 

• With advance notice, we can generally accommodate guests who must avoid the Big 8 food allergens, as well as gluten. We do not regularly label allergens or ingredients at catered functions but may occasionally label for the Big 8 allergens, which are: milk, eggs, peanuts, tree nuts, fish, crustacean shellfish, wheat and soy protein. We will also accommodate gluten intolerance. 

• To ensure guest safety, our staff may not be able to accommodate individual dietary preferences the day of the event. 

• We are unable to accommodate for therapeutic diets (e.g. diabetic diet, cardiac diet, renal diet, etc.).

Host responsibilities for on campus catering deliveries: As the host of the catered event, you are responsible for disposing of all waste and making sure all catering equipment we have provided for service such as non-disposable utensils, linens or catering equipment are left for catering to return for pickup. The cost to replace any missing or damaged catering equipment or supplies will be charged to your account.

Catering availability and approval of food waivers: Augustana Catering is the sole source provider of all hosted events on campus. Dining Services is periodically unavailable to fulfill orders due to other scheduled engagements and unforeseen circumstances. The department keeps an updated calendar with unavailable dates and times to assist in conveniently planning campus events as a convenience to those in the planning process. Catering will work with Dining Service to cover most available dates. Food waiver approvals and exemptions will typically be granted if Catering Services will be over extended upon review of each event. These exemptions will be granted at the discretion of the Director of Auxiliary Services and the Catering Manager providing the request was submitted prior to the established deadlines. There is an automatic exemption for events with fewer than 15 people and spending less than $100. 

Pick ups: To avoid delivery charges when the $50.00 order minimums are not met or if Catering Services are overextended, items for functions outside the Gerber Center may be picked up at the Gerber Dining Center Dock from 7 a.m. to 7 p.m. Pick-up items are packaged on or in recyclable disposables; hard black plastic with clear lids or aluminum foil and recyclable serving utensils. This saves you the trouble of caring for and returning items, so, please, recycle when you are finished!

Food removal: Due to health department regulations, prepared foods may not be removed from any event by anyone except Augustana Catering Staff. This policy addresses public health and safety concerns and is non-negotiable. 

Linen: Any additional linens are not included in the reception and a Ia carte pricing but can be added when placing your order with the catering coordinator for an additional fee. 

Alcohol policy: Alcohol Service (wine and beer) is available at Kenny Anderson Club by Bent River. All alcoholic beverages must be served by our personnel and consumed in designated areas. Proof of age will be required. Augustana Catering reserves the right to refuse service of alcoholic beverages to any person. Catering has a limited number of personnel that have completed the Serve Safe Training Program for alcohol service.
