Augustana’s Facilities Services team is here to keep our campus safe, functional and ready for the wide range of events and activities that bring it to life. Whether you need a repair, equipment for an event or technical support for a performance, this page will help you navigate the right process — and ensure your request reaches the right team, on time.
Use the chart below to determine the correct process based on your request type, location and urgency.
Non-emergency repairs
Use the Facilities Work Order System to request assistance for routine repairs (e.g., HVAC, plumbing, pest control, lighting, doors or other maintenance issues).
- Submit a request through the Facilities Work Order Portal.
- You will receive email notifications regarding status updates.
Please note: Emails, text messages, phone calls or verbal requests to Facilities staff will not be accepted for non-emergency work.
Event set-up requests
Our goal is to help you create successful, well-supported events. While each space has its own process for requesting support, we’ve outlined them below so you can get the help you need, when you need it.
Before requesting event support, your event must be scheduled through the Scheduling Department (via Astra). You will need your reservation number to proceed.
Be specific and timely. Early submission helps ensure equipment availability and setup coordination.
For events in Centennial Hall, Wallenberg Hall, Gavle Rooms or Olin Auditorium:
- Submit a Performance Halls Technical and Set-Up Request Form at least 5 business days in advance.
- Contact the Performance Hall Technical Manager at 309-794-7520 for special technical needs.
For events elsewhere on campus:
- Confirm that you or someone in your department is authorized to submit a work order.
- Submit a Facilities Work Order online at least 3 business days in advance.
- If your event requires more than 75 tables and/or 250 chairs, contact Scheduling (madelynbeverlin@augustana.edu) for off-campus equipment rentals (e.g., AAA Rents).
Key reminders:
- Event support requests must be submitted by Augustana employees (not students).
- Facilities does not provide ladders, extension cords, water hoses or tools. These must be purchased or provided by the hosting group.
- Include diagrams or detailed instructions in the work order when applicable.
- For catering support, contact shararangel@augustana.edu.
Other support requests
- Internet or phone issues: Submit via the ITS Helpdesk Work Order Form or call 309-794-7293.
- Bed or lofting issues: Report directly to your Residential Life area coordinator (residentiallife@augustana.edu).
- Washer/dryer issues in residence halls: Use the Family Pride mobile app in the App Store or Google Play to report.
